#1 Pick an Effective Venue and Enjoyable Location

Select an Okanagan meeting location that allows for both an effective meeting and refreshing breaks. Make the most of what the Okanagan Valley has to offer, and incorporate nature’s beauty into your next meeting. 15 minutes breaks for outdoor walks, or a change of location for lunch can do wonders for the brain and post-break productivity. At Vance Creek Hotel & Conference Centre, for example, step outside for fresh air and beautiful mountain views in between meetings; reset and regroup in a unique setting. An enjoyable location encourages a memorable meeting and a better overall experience for everyone in attendance.

#2 Identify the Goals of your Meeting

It’s best to begin a meeting or retreat session by briefly stating an overview of the project. What are you goals for the afternoon, day or weekend? Why is it important that the team has come together at this time? Even if everyone present is familiar with the topics, a quick refresher is a good way to get their brains in the right place. After stating what the project entails, clearly state the goal of the brainstorming session. Never go into a brainstorming session without a clear idea of what you want out of it, otherwise you’re setting yourself up for a phenomenal waste of time.

#3 Assign a Moderator or Leader

Assign someone to guide the meeting or retreat into a productive direction. This is a must - particularly in a group of friendly colleagues!  Things can quickly get completely off track and out of control if not kept in check.

#4 Set a Time Limit

Obviously, you’ll have to end the brainstorming at some point. However, it may not always be the best idea to wait until people simply stop talking. Try setting and announcing a firm time limit at the beginning of the session. The significance of the announcement is that it ensures everyone knows that the agreed upon goals must be met by a certain time. If you’ve got a strong team, this will encourage them to stay on track and really crank out as many ideas as possible within the allotted timeframe.
